Conditions of Access
On their first and for each subsequent research enquiry, all users are required to complete an Archives Request Submission before being granted access to the archive material.
By ticking the box on the Archives Request Submission you are agreeing to these terms and conditions.
Please be aware that there is no automatic right of access – virtual or physical – to the SMNZ Archives and the supply of information is ultimately as the discretion of the Province Archivist to the extent possible within the constraints of time and resources.
Copyright Information
The act of registering with the Archives carries with it a legal obligation to observe the provisions of the Copyright Act 1994. All items held by the SMNZ Archives are subject to copyright law.
(a) Any copies of records provided to you, are to be used by you only for purposes of research for a non-commercial purpose or private study.
(b) You will not make further copies, nor supply copies to any other person.
(c) You will not reproduce any of these copies without first obtaining the permission of the copyright owner.
Copying documents
For preservation reasons, it may not be possible to photocopy or scan documents from the Archives and it is at the Province Archivist’s discretion whether this can be done. You will be informed if this is the case.
Quoting and citations
Quotes and citations from our archive material are to be referenced with:
- SMNZ Archives Wellington (MAW) and
- the provided item ID number(s)
Publication
No publication right is vested in any researcher through the supply of any material from the SMNZ Archives. All publication right is reserved. If you wish to publish material held by the SMNZ Archives, this process is to be followed;
- Submit a written request.
- Submit any portion of a manuscript based wholly or in part on these archives to the Society of Mary before publication. It is agreed that the Society of Mary may delete from the manuscript any material based on these archives and that the manuscript shall not be published save with these deletions.
If a researcher makes a transcript of a record, or includes in a publication material from the Archives, the Archives is to receive a copy of the transcript or publication.
